Hamilton Central Baptist Church (HCBC) recognises the importance of protecting an individual’s privacy. This privacy statement explains how HCBC collects, stores and may use your personal information. The Privacy Act 2020 came into effect on 1 December 2020, and HCBC endeavours to fully comply with its principles as it continues to handle personal information with care and respect.
You can ask us for a copy of your personal information or to correct it at any time. We will be as open as we can with you whilst ensuring we do not breach the trust or safety of others, or where information may be legally privileged.
We collect personal information from you to carry out our role as an organisation and to inform you about our gatherings, events and activities.
We may collect personal information about you directly or generate it when we carry out the functions of our organisation.
We take care to ensure requests for information from children and young people is done fairly and only when necessary.
HCBC uses selected third-party suppliers to deliver specific services, which may include, but are not limited to, email, event registration, and live chat; these suppliers have comparable privacy policies and processes for protecting your personal information.
HCBC takes all reasonable precautions and steps to ensure that your information is stored securely. We keep your information within systems such as Microsoft 365 and on Planning Centre Online. We protect our data with all reasonable technical and process controls.
We may collect personal information from you, which may include, but is not limited to, your name, age, contact details, event registration status, donations, and your interactions with us.
Providing some personal information to us is optional; however, we may not be able to provide certain services or fulfil our role as an organisation if you do not provide the information we request.
We collect your personal information to carry out our role and function as an organisation, which may include but is not limited to, provide pastoral care, inform you about gatherings, events and activities, comply with legal requirements (e.g., charitable donations), protect our children and young people, complete registration and management requirements for conferences and events, improve our delivery of gatherings, complete internal analysis and reports.
We do not generally share your personal information with third parties (other than those providing digital services to us). However, we may share personal information with the NZ Police or another government agency, if required by law (for example, to assist with the investigation of a criminal offence), to report significant misconduct or where there is a serious threat to health and safety.
By coming onto HCBC and adjoining premises, you automatically agree to the following:
We may capture still and/or moving imagery and/or audio. This might include, but is not limited to, unmanned aerial devices. The footage or recordings may be used by HCBC and associated parties at their discretion. This could involve marketing, promotional material, social media, livestreams, and websites.
HCBC operates with an opt-out policy. This means you must provide written notice if you wish to opt out. You will then be informed of any further obligations you may have to assist HCBC with this request. We will never knowingly publish anything that would be objectionable, embarrassing or hurtful to anyone, and will take reasonable steps to remove any captured still and/or moving imagery and/or audio upon request. In line with our Child Protection Policy, no still and/or moving imagery and/or audio may be purposefully taken and publicly released when individual children can be identified without the written permission of parents or caregivers.
We have CCTV devices installed at various HCBC areas. Footage is recorded and retained for security purposes and is only viewed by authorised staff. The footage will not be made public unless authorised by the individual(s) shown in the footage or in consultation with the NZ Police and or other authorities. The footage will be deleted once HCBC no longer requires it for security or operational reasons.
We use social media networking services, which may include but are not limited to Facebook, Instagram, and YouTube, primarily to share content and promote HCBC events. When you engage with us using these services, the social network may collect your personal information for its own purposes. These networks have their own privacy statements, which are independent of ours. They do not have access to your personal information that we hold.
By engaging with our digital presence, we may collect data about your online activity.
HCBC reserves the right to amend, alter or update this privacy policy at any time and without notice. Any changes will be effective immediately. Thus, you are advised to review this policy periodically for any changes.
To opt out of anything pertaining to this policy, please email administrator@hcbc.nz with the heading ‘opt out’, please state your name, email address and which communication you would like to stop receiving.
The Privacy Act 2020 permits you to ask for a copy of your information, or to have it corrected or withdrawn.
